About Reorder Report


The Reorder Report page enables you to view the availability of all of your products along with their associated Supplier - and with the relevant stock level information. This report is ideal to see if your stock is running low and you need to replenish new stock.

You can select products at line level and use the Reorder button to create a purchase order for those stock items with low quantities. You can still add extra lines or remove lines to the created purchase orders, where necessary.

Additionally, you can:

  • Review products on purchase (which are Parked, Placed, Costed Purchase Order) and their next delivery date.
  • Drill down into the product transactional details by status of Quantity on Hand, On Order, In Assembly, On Transfer or On Purchase.

You can filter the report by Product, Suppliers or Product Group. The grid displays your current minimum or maximum stock levels as well as the suggested quantities to order.

If no minimum or maximum levels are set, then this report is useful to display products which are overstocked instead.


You can access the Reorder Report via the Reports | Purchases | Reorder Report.

 

The value of the Reorder Report

The Reorder Report is one of the most powerful reports in Unleashed; it shows every product and its current quantity on hand and whether there are any on order, on assembly, on transfer or on purchase. The available amount is calculated from these quantities and a reorder amount is then suggested. The report also has low and high stock alerts that can be set if required.

Header button descriptions


Reorder: When you select the Reorder button, Unleashed creates a purchase order for those items with low quantities.

About Parked and Placed Purchase Orders

  • Parked Purchase Orders: Is a draft Purchase Order and the numbers purchased are not shown in the Reorder Report.
  • Placed Purchase Orders: Are placed quantities in the purchase order will show up in the Reorder Report as being purchased. And therefore will affect the suggested reorder amount.

Header field descriptions


You can use all filter fields to filter and retrieve specified data.

Product Code: Filter used to select a specific product by code.
Product Description: Filter used to select a specific product by description.
Supplier Code: Filter used to display nominated suppler codes.
Supplier Name: Filter used to display the nominated supplier name.
Warehouse: Filter used to display the nominated Warehouse. Only appears if the Per Warehouse function is selected.
Alert: Filter used to sort by low, high or all alert levels. 

 

Grid column descriptions


Code: Displays a unique code for the specified product.
Description: Displays a unique description for the specified product.
Preferred Supplier: Supplier recorded as the default Supplier in the product's Supplier tab.
Warehouse: Displays the warehouse name for the specified warehouse.
Min Stock: Minimum Stock Alert Level value recorded in the Product's Inventory tab.
Max Stock: Maximum stock alert value recorded in the Product's Inventory tab.
On Hand:  Actual numbers of stock on hand before taking into account internal stock movements such as transfers and production in process (assemblies).
On Order: Number of the product that is on Parked Sales Orders.
On Assembly: Number of the assembled product that is on Parked Assemblies (being used in the Production process).
In Assembly: Number of the component product that is on the Parked Assemblies (being used in the Production process).
On Transfer: Number of the product that is on Parked Warehouse Transfers.
On Purchase: Number of the product that is on Placed Purchase Orders.
Next Delivery: Displays the next delivery date for the specified product.
Available: Availability is calculated as Stock on Hand - On Order - In Assembly - On Transfer. It displays any stock available for the specified product.
Suggested Reorder: The total number of items required to replenish stock up to the maximum stock level (once you have fallen below the minimum). This is calculated as Maximum stock - Available - what is on purchase (in the On Purchase column) - On Assembly.
Alert: High is displayed when the Available Stock is higher than the Max Stock amount.
Stock Turns: Stock turns are calculated as the Cost of Goods Sold divided by Average Inventory. 

 

Calculation of average inventory is Ave. Inventory: ((Previous Year On Hand Quantity * Previous Year Average Cost) + (Current Year On Hand Quantity * Current Year Average Cost)) / 2

 

Hidden grid columns


In this instance, the following columns are hidden from view.  However, depending on your requirements, you can customize your columns to hide or make columns available as required.  You can do this by selecting SHOW TOOL BAR on the grid.

Product Group: Displays any product groups for the specified order.

 

Using the custom grid

Depending on what sort of information you require, you can enter the relevant criteria and then click Run at the top on the banner.

You can also export what you see to several different formats such as pdf, xls and .xlsx using the Export button on the banner.

Using the tool bar above the grid, you can do several other things to the information shown in the grid.


These are described as follows:

  • Group By Column(s):

To group by a desired column you simply need to drag and drop it into toolbar above the grid. As soon as you drop it the grid will group everything based on that column. You can group by as many columns as you like and expand all or collapse all the groups under the More menu.

  • Create Multiple Views:

To set up multiple views of this report you just need to click New on the toolbar and give it a name after making any customizations. You can create as many views as you like and also choose a default which will be displayed when you first click on the report.

  • Customize Columns Shown:

Using the Hidden Columns button you can choose what columns are shown on the grid and where. To add or remove a column, simply drag and drop the columns you like to and from the Hidden columns box.

Filtering your reorder report

  1. Select a filter you want to use from the top of the Reorder report page, this could be from filters options available.
    You can select from;
  • Product Code: Filter used to select a specific product by code.
  • Product Description: Filter used to select a specific product by description.
  • Supplier Code: Filter used to display nominated suppler codes.
  • Supplier Name: Filter used to display the nominated supplier name.
  • Warehouse: Filter used to display the nominated Warehouse. Only appears if the Per Warehouse Tracking function is enabled.
  • Alert: Filter used to display the nominated minimum or maximum alerts. You can modify these accordingly via the Product Inventory tab It displays Low Level Stock alert by default.
  1. Press Run
  2. Your results appear on the page.

 

How to reorder stock

On this page you can easily reorder stock when it is running low.
To do so;

  1. Click the Reorder button
  2. Unleashed creates a purchase order for those items with low quantities.
