About Shipment Enquiry


The Shipment Enquiry page is aimed towards warehouse staff to view and process open shipments. After administration staff have created and deployed the shipments, warehouse staff can use this screen to manage their work flow of shipments. For example, in the Shipment Enquiry page, you can determine what order needs to be picked, what orders need to be packed and what orders need to be shipped. The Shipment Enquiry page can take you through the entire shipment process of pick, pack and dispatch.
From the Shipment Enquiry page, you can:

  • Print and email shipping documents, e.g. Picklist, Ship Notes
  • Edit orders, right at line level
  • Dispatch the shipment accordingly

You can perform these tasks by using the action cog. Additionally, you can apply a filter and report on your shipment enquiries based on the different statuses. Other features include;

  • Filter and report on all shipments
  • View statuses of shipments
  • Export the report into multiple formats (PDF, CSV, XLSV and XLS.)
  • Provide multiple shipment statuses to select from (Open, Packing, Picking, Picked, Packed and Dispatched, Deleted or All).

You can access the Shipment Enquiry report via the Sales | Shipment Enquiry.

Shipment Enquiry functional descriptions


Header field descriptions


All filter fields are used to retrieve specified data.

Transaction Date: Filters the transaction date by options available, e.g. Required Date or Dispatch Date.
Date From: Filter used to display orders after the nominated date.
Date To: Filter used to displays orders before the nominated date.
Sales Order Number: Filter used to display the unique order number for the nominated order.
Shipment Number: Filter used to display the unique shipment number for the nominated order.
Shipment Status: Filter used to display the shipment status, e.g. Open.
Warehouse: Filter used to display the name of the nominated warehouse.
Shipping Company: Filter used to display the name of the shipping company that is transporting goods to the customer.
Tracking Number: Filter used to display the tracking number provided by your shipping company.
Customer Code: Filter used to displays the nominated customer code.
Customer Name: Filter used to displays the nominated customer code.
Customer Type: Display orders for a nominated customer type e.g. retail, e-commerce etc.

 

Grid Column descriptions


You can use the action cog to perform various options at line level.

Edit: Enables you to update the shipment status to reflect where the shipment is in the warehouse.
Print Pick List: Enables you to update the shipment status to reflect where the shipment is in the warehouse.
Print Ship Note: Enables you to print the shipping note document to accompany the shipment when dispatched.
Email Pick List: Enables you to create a PDF of the pick-list to be mailed electronically.
Email Ship Note: Enables you to create a PDF of the ship note to be mailed electronically.
Dispatch: Enables you to complete the shipment in one step.


 

Filtering your Shipment Enquiry

  1. Select a filter you want to use from the top of the Backorder Enquiry page, this could be from filters options available. You can select from;
    • Transaction Date (drop-down date contains;Required Date and Transaction Date).
    • Date From (select date from calendar)
    • Date To (select date from calendar)
    • Sales Invoice Number (enter in your specified sales invoice number you want to filter)
    • Shipment Number (enter in your specified shipment number you want to filter)
    • Warehouse (select warehouse from drop-down menu, this option can be customized in Settings)
    • Shipping Company (select your Shipping Company from the drop-down menu, this option can be customized in Settings)
    • Tracking Number (Enter in the specified Transaction Number you want to filter).
    • Customer Code (enter code into field)
    • Customer Name (enter name into field)
    • Customer Reference (enter the Customer Reference into field, if applicable)
  2. Press Run
  3. Your results appear on the page.

 

Print and email your shipping documents


Use the action cog to print and email your shipping documents. You can locate the action cog for the line on the right side of the transaction in the action column.

  1. From the Sales Enquiry page, click on the action cog for the transaction line you want to action.
  2. The action cog appears, from the action cog menu, select from;
    • Print Picklist
    • Print Ship Note
    • Email Picklist
    • Email Ship Note
  3. Once you have made your selection, Unleashed generates a PDF of your document (if printing). Or, if emailing a customer, a Send Email dialog box appears, this is where you can enter in your customer's email address, along with subject and message. The email will be sent along with the generated PDF of your shipping document (either Ship Note or Picklist).

 

Editing your Order


Use the action cog to edit your order at line level. You can locate the action cog for the line on the right side of the transaction in the action column.

  1. From the Sales Enquiry page, click on the action cog for the transaction line you want to action.
  2. The action cog appears, from the action cog menu, select Edit
  3. The Shipment page appears, this is where you can update the shipment status to reflect where the shipment is in the warehouse. it opens up your shipment order at line level.

 

Dispatching your Order


Use the action cog to edit your order at line level. You can locate the action cog for the line on the right side of the transaction in the action column.

  1. From the Sales Enquiry page, click on the action cog for the transaction line you want to action.
  2. The action cog appears, from the action cog menu, select Dispatch.

 

Use the Shipment Status filter to check what the status of your order is, i.e. Picked, Packed, Placed, Parked, Deleted, Dispatched etc.

 

Creating an invoice from the Shipment Enquiry page


You can easily create an invoice for your specified line in the Shipment Enquiry page.
To do so,

  1. From the Sales Enquiry page, click on the action cog for the transaction line you want to action.
  2. The action cog appears, from the action cog menu, select Invoice.
  3. The Sales Invoice page appears, you will be able to create an invoice from this page.

 

Exporting your reports


You can easily export your report to PDF (default), CSV, XLSC or XLS for optimal reporting. To do so;

  1. Press the Export button.
  2. Select what format you want your report to be, you have the option of;
    • PDF
    • CSV
    • XLSC
    • XLS

To select the option you want, click on the Export arrow on right of button to provide you the options. If you click on Export itself, it will default to the PDF setting, and a PDF is generated.

 

Using the custom grids


Depending on what sort of information you require, you can enter the relevant criteria and then click Run at the top on the banner. You can also export what you are seeing to a number of different formats such as pdf, xls and .xlsx using the Export button on the banner. Using the tool bar above the grid, you can do a number of other things to the information shown in the grid.

These are described as follows:

Group By Column(s):
To group by a desired column you simply need to drag and drop it into toolbar above the grid. As soon as you drop it the grid will group everything based on that column. You can group by as many columns as you like and expand all or collapse all the groups under the More menu.

Create Multiple Views:
To set up multiple views of this report you just need to click New on the toolbar and give it a name after making any customizations. You can create as many views as you like and also choose a default which will be displayed when you first click on the report.

Customize Columns Shown:
Using the Hidden Columns button you can choose what columns are shown on the grid and where. To add or remove a column, simply drag and drop the columns you like to and from the Hidden columns box.
